RATECORE Inc. ("RATECORE", "we", "us", or "our") is committed to protecting the privacy of our clients, website visitors, and prospective borrowers. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario privacy laws.

By using our website at ratecoremortgage.ca, submitting a lead form, or using our rate comparison and mortgage services, you consent to the practices described in this policy.

1. Information We Collect

Contact and Identity Information

Financial Information

To provide mortgage services, we collect financial information including your annual household income, employment type and employer information, down payment amount and source, existing debts and monthly obligations (car loans, student loans, credit card balances), and bank account statements for verification purposes.

Credit Information

With your explicit consent, we may obtain your credit report and credit score from Equifax or TransUnion. Our initial pre-qualification uses a soft credit pull, which does not affect your credit score. A hard credit pull is only performed when you formally apply to a specific lender, and we will notify you and obtain your consent before initiating this.

Property Information

We collect information about the property you intend to purchase, refinance, or renew, including the property address, type, appraised or purchase value, and intended use (principal residence, rental, vacation).

Usage and Technical Data

When you visit our website, we automatically collect certain technical data including your IP address, browser type and version, operating system, pages visited, time spent on pages, referring URLs, and general geographic location. This data is collected through cookies and similar tracking technologies (see Section 7 — Cookies Policy).

2. How We Use Your Information

We use your personal information for the following purposes:

  • Mortgage services: To assess your financial profile, match you with suitable lenders, present mortgage options, and facilitate the mortgage application and approval process on your behalf through our partner network.

  • Marketing and education: To send you relevant mortgage news, rate updates, and educational content if you have opted in. You may unsubscribe from marketing communications at any time.
  • Legal and regulatory compliance: To comply with applicable laws, regulations, and the requirements of regulatory bodies including FSRA.

3. Who We Share Your Information With

Lenders

When you authorize us to submit a mortgage application on your behalf, we share your financial profile and personal information with the lender(s) we are applying to. This is a necessary part of the mortgage application process.

Credit Bureaus

With your consent, we share information with and receive information from Equifax Canada and TransUnion Canada for the purpose of credit assessment.

Regulatory Bodies

Our partner mortgage professionals are regulated entities. We or they may be required to disclose information to the Financial Services Regulatory Authority of Ontario (FSRA) or other regulatory bodies in connection with an audit, complaint, investigation, or as required by law.

Service Providers

We engage trusted third-party service providers to help us operate our business, including cloud hosting providers, email delivery services, and analytics platforms. These providers are contractually bound to use your information only for the purpose of providing services to us and are prohibited from using it for any other purpose.

Legal Requirements

We may disclose your information if required to do so by law, court order, or government authority, or where we believe disclosure is necessary to protect the safety of any person or to prevent fraud or illegal activity.

4. Your Rights Under PIPEDA

Under PIPEDA, you have the following rights with respect to your personal information held by RATECORE Mortgage:

  • Right of access: You have the right to request access to the personal information we hold about you. We will respond to access requests within 30 days.
  • Right to correction: If you believe any information we hold about you is inaccurate or incomplete, you have the right to request that we correct it.
  • Right to withdraw consent: Where processing is based on your consent, you may withdraw consent at any time. Note that withdrawal of consent may affect our ability to provide mortgage services to you.
  • Right to complain: If you have concerns about how we handle your personal information, you have the right to file a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca.

5. Data Security

These measures include encryption of data in transit (TLS 1.2+) and at rest, access controls limiting information to authorized personnel only, and regular security reviews.

While we take every reasonable precaution, no method of transmission over the Internet is 100% secure. In the event of a data breach that poses a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner as required by PIPEDA.

6. Data Retention

We retain personal information for as long as necessary to fulfill the purposes for which it was collected, or as required by applicable law. Specifically:

  • Mortgage application files and supporting documents are retained for a minimum of 7 years following the closing of the transaction, as required by applicable regulatory requirements.
  • Contact and inquiry information is retained for 3 years if no mortgage transaction results.
  • Website analytics data is retained for 26 months.

After retention periods expire, personal information is securely deleted or anonymized.

7. Cookies Policy
